About us

Telos Recruitment is a recruitment consultancy business as defined by the Employment Agencies and Employment Businesses Regulations 2003 (our business) operating within the ecommerce and digital sector. As we are a recruitment company, our job is to help individuals such as clients or candidates, we will need to obtain certain types of information to aid in your job search. This policy will outline what we collect and clarify details.

What we collect

We accumulate the personal data of the following types of people to undertake our main business.

How we use information about you.

This is information about you that you give us by filling in forms on our site www.telosrecruitment.com or by corresponding with us by phone, e-mail/contact forms/job boards. It includes information you provide when you use our site, to enter our database, subscribe to our services, job boards or other social media functions on our site, enter feedback and when you report an error on our site.

The information you provide to us, or we collect about you, may include your name, address, private and corporate e-mail address and phone number, financial information, compliance documentation and references verifying your qualifications and experience and your right to work in the United Kingdom, CV, links to your professional profiles available in the public domain for example LinkedIn, or commercial website.

The information we gather about you from other sources such as indeed, other job boards, LinkedIn, online CV libraries, by reading this privacy policy confirms collecting the data and that we hold personal data about you as well as the source the personal data came from, and for what purpose we aim to retain and process your personal data.

To provide the best possible employment opportunities that are tailored to our candidates, we need to process certain information. We only ask for details that will genuinely help us to help candidates find a new role, such as name, contact details, education, past employment and immigration status (and other relevant information you may choose to share).

Where appropriate, and in accordance with local laws and requirements, we may also collect information related to diversity, details of any criminal convictions depending on the nature of the role and the requirements of our client.

The fundamental service we offer to our candidates and clients is the introduction of candidates to our clients for the purposes of permanent employment. However, our service also expands supporting people throughout their profession and supporting businesses’ resourcing needs and plans.

Our legal basis for the handling of data is our Legitimate Business Interests or key business interests, described in more detail below. We will in some cases rely on consent for particular use of your data and you will be asked for your express consent, if legally required. Examples of when consent may be the lawful basis for processing include permission to introduce a candidate to a client.

As a recruitment business we introduce candidates to clients for employment. The exchange of personal data and details of our candidates and our client contacts is a fundamental, essential part of our whole business process.

To support our candidates career aspirations and our client’s recruitment needs we require a database of candidates and client personal data containing vital information as well as current resourcing requirements. We hold on to personal data due to new opportunities and keep in contact with clients and candidates, this allows us to develop as a company and grow our own client and candidate database.

How we may share your Data

We may use and disclose personal information about you for the purpose of assisting you in your job search. We may disclose personal information to potential employers, nominated referees; any person or body we are required to disclose to by law; to past educational organisations to verify qualifications and to competent organisations that conduct background and/or criminal record checks (so long as such organisation undertakes to comply with privacy laws and keeps all supplied information, confidential); any information stored may also be shared with our bank and financier.

In addition, we require your data for the following reasons:

·         We may periodically send emails about new information which we think you may find interesting using the email address which you have provided.

We keep your information on our electronic database and via our applicant database platform which is secure. We access our servers daily for our day-to-day business activities from a secure platform which is password protected and has strict user restrictions.

·         Request permanent removal of your personal information, for whatever reason personal or business,

·         You also have the right to ask us to delete or remove your personal information where you have exercised your right to object to processing.

·         You also have the right to object where we are processing your personal information for direct marketing purposes.

·         Request the restriction of processing of your personal information.

Your data can be accessed by Telos Recruitment employees, for recruitment or marketing purposes. From a candidate perspective, we will not share your details without your permission – we will never send candidate information to our clients until the individual agrees they would like to be represented for a specific job. For clients, we will not share any contact details unless approved by the individual client contact.   For marketing communications, we will only contact you with job updates and where we feel you are a good match for roles listed if you have subscribed and we will not share your email information with any third parties.

HubSpot

For marketing communications, we use HubSpot to send emails to our subscribers. We will not send emails unless you have explicitly stated you wish to be added to our mailing lists upon completion of a form on our website. We may however contact clients and candidates via email to explain more about us as a company and how we can build a business relationship going forward.

As an environmentally aware business, we try to limit any printed items especially any that contains personal information. If we do have any printed personal information for example a CV, it is company policy that documents are not left on desks and are locked away each evening. We shred all confidential paperwork on a daily and weekly basis.

Senior management oversees ensuring that data records are kept confidential and secure.  To prevent unauthorised access or disclosure we have put in place suitable physical, electronic and managerial procedures to safeguard and secure the information we collect verbally and electronically and all of our employees are aware of this through our company policies and their contracts of employment.

Controlling your personal information

We truly value all our clients, candidates, and their privacy. We will not sell, distribute, or lease your private and personal information to third parties unless we are required to do so by law or have your permission to do so.

As a growing business we aim to keep your details on our systems for as long as required, we will often contact you via email or telephone and ask if you would like to be kept updated with future job opportunities, updated details and if you still wish to have your details on our system.

It is recommended that when you send us your CV or apply for a role, you should read the privacy policy as stated. You have the right to request what information we hold of yours; you have the right to ask for any information we hold on you to be updated or deleted and If you believe that any information we are holding on you is incorrect or incomplete or you would like it deleted then please contact us via email and we will be happy to assist.
